First general meeting, 2026–27 [EXAMPLE-ONLY]

Meeting of Sep 9, 2026 Taken by Test

Call to order — 3:12 p.m., room 212, by President Priya Raghavan. Advisor Mr. Alvarez present.

Attendance — 63 members signed in. Officers all present. Twelve members marked excused; the sign-in sheet is with the secretary.

Officer reports

Secretary (Daniel Osei). Minutes from the May 20 closing meeting were read. Approved as written, no corrections.

Treasurer (Nina Whitcomb). Balance carried over from last year: $412.68. No expenses since June. Nina reminded everyone that dues are $15, due by October 1, and that the district portion of dues has to be mailed by October 15, so late payments create a real problem.

Vice President (Marcus Tolliver). 89 students signed up at the club fair. About half showed up today, which Marcus said is normal and not worth worrying about yet.

Old business

Hayride at Bramwell Farm. The Bramwell family confirmed availability. Discussion covered two possible dates and the ticket price.

Motion (Osei, seconded by Whitcomb): Hold the hayride on Saturday, October 17, 8 a.m. to 2 p.m., with wristbands at $5 for students and $8 for adults.
Passed, 55–4, two abstentions.

Some members argued for $6 student pricing. Mr. Alvarez pointed out that last year's $4 price left money on the table and the pantry needs it, so the higher number carried. Proceeds go to Riverside Food Pantry.

Service hour tracker. Still broken from last spring — hours logged after April 2 didn't save. Priya will meet with the school's tech office this week and report back. Members who think hours are missing should email the secretary rather than posting in the group chat.

New business

Freshman representative. Two candidates spoke: Ava Lindqvist and Theo Barrera. Written ballot.

Result: Ava Lindqvist elected, 34–27.

Fall service calendar. Approved by voice vote, no objection:

  • Sept 26 — Highway cleanup, Route 9 stretch, 9 a.m.
  • Oct 17 — Hayride, Bramwell Farm
  • Nov 3 — Canned food drive kickoff, both lunch periods
  • Nov 21 — Pantry sorting shift, 10 a.m. to 1 p.m.

Meeting cadence. Some debate about whether to meet weekly or every other week. Weekly was tabled to the next meeting — Mr. Alvarez asked for a room availability check first.
